Invite somebody to your team

Sending an invitation, reading the Access column, resending a lost link, and every failed-invitation screen.

Everybody who works for you gets onto HoursEasy the same way: an invitation. This is what happens when you send one, what the Access column is telling you, and what to do when a link stops working.

Sending an invitation

Adding a person is always an invitation — there is no path that creates a worker without one, so their row exists the moment you press send, before they have ever opened the email.

  1. Under Invite somebody, fill in Full name, Email and Default role.
  2. Tick Administrator if they need to manage staff, roles or billing. Leave it off for anyone who should only record their own hours. An administrator's invitation uses a seat too — see what counts as a seat.
  3. Press Send invitation.

Reading the Access column

Owner and Signed in mean the person has already redeemed an invitation and can sign in. Invite pending means their link has not been used yet — press Resend beside it to send a fresh one. The old link stops working the instant you do, so only one link is ever live for a person. No invitation means nothing has gone out for that row.

If an invitation could not be sent, the row is still there and still pending — Resend tries again, and nothing about them is lost.

When a link does not work

Whoever clicked it lands on a page explaining why, and what to do next:

When your plan is full

Sending an invitation your plan has no room for is refused outright, not partly done: Not added — your plan has no room for another person recording hours right now. Archive somebody who has left, or check your plan on Billing, then try again — see what counts as a seat.
