Terms of service
The agreement between your business and HoursEasy. It is written to be read rather than to be survived, and the section that matters most is the second one, because it says what this software deliberately does not do.
What you get
A subscription to HoursEasy for your organisation, on the plan you choose, for as long as it is paid. Field staff record hours and items; supervisors sign dockets; administrators export approved hours.
Your data is yours. You can export all of it at any time, and cancelling does not hold it hostage.
What HoursEasy does not do, and will not do
HoursEasy does not perform award interpretation, and does not calculate PAYG withholding, superannuation or Single Touch Payroll reporting. This is a permanent scope boundary, not a feature that is coming.
It produces approved hours and connects them to Xero, which does those things, and exports them as a CSV or PDF for use outside HoursEasy. Your business remains responsible for paying people correctly, for meeting its obligations under the relevant award or agreement, and for its own tax and superannuation reporting.
HoursEasy computes no pay, no cost, no margin and no GST. Hours are multiplied by the rate your project’s rate table names and nothing further is inferred.
What you pay
The monthly or annual price of your plan, in Australian dollars, exclusive of GST. GST is added at checkout at the rate then in force, so a plan listed at $45 a month is charged as $49.50. Annual billing is charged as ten months.
If you subscribed while prices were published inclusive of GST, the price and the GST treatment you agreed to continue to apply for as long as your subscription runs uninterrupted. We do not move an existing subscription onto new pricing without asking you first.
Plans are counted on active worker records, meaning anyone set up to record hours. Every invitation creates one of these — an administrator’s included — so a worker consumes a seat from the moment they are added, before they have signed in.
Somebody who never ends up recording their own hours — a coordinator or the bookkeeper, say — can be archived on Staff once they have signed in: the seat is freed either way. Make them an administrator first if they still need to get in — archiving ends their office sign-in unless they are an owner or an administrator.
Your responsibilities
Keeping account access to the people who should have it, and removing those who should not. Telling your workers that their hours are being recorded in this system, which is your obligation rather than ours.
The accuracy of what is entered. HoursEasy records what people tell it and reports where records disagree; it cannot know that somebody typed the wrong finish time.
Availability
The service is operated with reasonable care but is not sold with an uptime guarantee, and no service credit scheme exists at these prices. Planned maintenance is announced where practical.
Because hours, items and signatures are captured on the device and sent when a connection returns, a field worker can keep working through an outage.
Ending it
Cancel at any time; the subscription runs to the end of the paid period and is not pro-rated. Export your data before or during that period.
An account can be suspended for non-payment or for use that endangers other customers. Where that happens you will be told why and given a reasonable chance to fix it.
Liability
Nothing here excludes rights under the Australian Consumer Law that cannot be excluded.
Otherwise, liability arising from the service is limited to the fees paid in the twelve months before the claim, and does not extend to indirect or consequential loss, including lost profit or lost business.
Governing law
These terms are governed by the law of Queensland, Australia, and the courts of Queensland have jurisdiction.
