Set up your clients and projects

Adding clients and projects, what each project field does, and how work with no client to invoice is handled.

Everything else in HoursEasy sits under a client and a project. This is how to add both, what a project's own fields do, and how work with nobody to invoice is handled.

Clients

  1. On Clients, press Add client.
  2. Give it a Name.

Once it exists, the client's page shows a Xero contact row reading Mapped or Not mapped with a link to the Xero screen — that mapping is not set from here. See connecting to Xero if you have not connected yet.

Projects

A project always sits under a client, and a client can carry several. Add one from the client's page with Add project — the client is already chosen for you — or open see every project on the Clients screen, which lists every project across every client in one table.

  1. Give the project a Number. It is filled in from your own sequence but stays editable, because it ends up on dockets, invoices and whatever reference your client already uses for the job.
  2. Add a Purchase order if the client issued one. It prints on the works summary.
  3. Leave Agreed sum empty to bill every chargeable hour at its role's rate. Set one and hours in scope are covered by it instead — anything ticked Outside the agreed scope on a timesheet bills on top of it, at the role rate.
  4. Choose a Status: Active, Complete or Tender. Only Active projects are offered on a timesheet, so a tender that has not been won yet cannot collect hours by mistake.

Work with no client

Training, yard time, anything you are not invoicing anyone for — add the project with no client, and it appears under Internal — no client at the bottom of the Clients screen instead of under a client's name. It still carries hours like any other project, and it still needs its own rate table if any of those hours are ever charged on.
