Archiving, deleting and restoring

How HoursEasy decides between delete and archive, and how an archived row behaves afterwards.

Clients, projects, roles, task types and items all follow the same rule for removing a row: HoursEasy decides for you whether that means delete or archive, based on whether anything has actually used it yet.

Delete or archive

A row with nothing recorded against it — no hours, no dockets, no rate lines, nobody's usual role — offers Delete. Once something has used it, the same button reads Archive instead: deleting it would strand whatever already refers to it, so archiving hides it from new work without touching the record.

Either button asks once more before it acts, in place rather than as a popup — press it again to confirm, or press Keep to back out and leave the row exactly as it was.

Deleting a client also deletes any of its projects that have nothing recorded against them yet, in the same action.

Bringing one back

Archived rows are hidden by default. Press Show archived to see them, and Restore to bring one back into use.

An archived row is never offered for new work — it drops out of every picker your crew sees, including on a phone that is working with no signal — but every record that already names it keeps naming it. A client you archive after invoicing them still shows correctly against every past docket and export; if any of its hours are still unsent, its name is marked (archived) wherever it appears on Summaries so you know why work for a client you can no longer pick from a list is still on screen.
